Where do I manage quotes and invoices now?
Open Sales → Quotes & services. Choose Quotes & services for offers, CRM invoices for reviewed invoice drafts and verified events, or Provider invoices & links for invoices issued elsewhere. Switching these steps keeps visited forms mounted until you leave Sales or change workspace; save important drafts before leaving. Connections links open this same workspace instead of another invoice editor.
Where are task assignment email settings?
Open Settings → Administration → Task assignment emails. The shortcuts in Tasks and Guided setup open this same sender and delivery-history screen. Changing the page does not enable email or send pending notices.
How do I check workspace operational health?
An owner or authorized administrator can open Settings → Workspace operational health. Review backup configuration, account status, task email results and observed background jobs. Missing observations remain unverified; the panel does not certify production readiness.
Does Delivered mean someone read a task email?
No. For the configured product notification service, Delivered means the receiving mail server accepted it. Check the recipient inbox and spam folder for actual receipt. Bounced, Complained or Failed results need operator review. Unconfirmed messages are never automatically resent.
Can an assistant schedule for me?
Yes. Open Schedule meeting to use the scheduling desk. A workspace owner sets the host, coordinator, booking link and guide. Active coordinators can handle routine requests; exceptions require the configured owner host’s approval. CRM creates assigned tasks, with assignment emails controlled by workspace settings. Microsoft Bookings/calendar permissions must be granted separately. Final invitations are completed in Microsoft, and CRM records the person reporting completion without treating that as verified provider delivery.
Where can I see what changed in a release?
Select Release notes in the CRM sidebar or customer resource navigation. Search by feature or version. Each entry explains the changes, where to find them, any required action and known limits. Individual releases have shareable links. Released code does not establish live provider delivery or pilot readiness.
Where do my product suggestions go?
Open Settings → Feedback & discovery or Suggest an improvement. Submitted feedback is saved in your workspace and queued for email to simonmittal@envisage-health.com. Completed interview summaries and recommendations are also queued; individual interview answers stay in CRM. Refresh feedback and email status to see Pending, Accepted, Rejected or Unconfirmed. Accepted means provider acceptance, not confirmed receipt. Delivery requires a configured product notification service or the product owner’s authorized persistent Gmail sender in Envisage Health. Do not include patient data, credentials or confidential customer records.
Can I email a client without leaving CRM?
Yes. Open a person and choose their email button, or select Write email on a task. Choose a connected mailbox, authorize sending, write or AI-draft the message, then review and confirm. Save drafts to resume later. The current composer sends a new plain-text email; add supported attachments in the composer; use your mail app for a reply that preserves the original thread.
What does Accepted or Unconfirmed email status mean?
Accepted means Gmail or Microsoft accepted the sending request; it is not a delivery receipt. An unconfirmed outcome may mean the provider received the email before a connection failed. Check Sent mail before sending another copy. CRM blocks automatic resends of that message. Tasks stay open unless you chose to complete them after acceptance.
How do I start a trial?
Contact the CRM team with your business name, owner email and intended use. Access is currently provisioned individually. Sign in with the exact approved account; connecting Gmail or Microsoft email is a separate step and does not create CRM access.
What happens after my trial?
Choose Nonprofit, Essential, Professional or Business and review your billing agreement before activation. Current anticipated prices are $29, $39, $79 and $149 per month. Trial access can expire; it does not silently authorize payment. Existing agreements are preserved.
Can I keep separate businesses apart?
Yes. Create and use separate workspaces within your customer account and assign colleagues only where needed. Always check the workspace selector before importing or editing. Plan workspace and user limits apply.
Where can I see all my connected accounts?
Open Guided setup or Connect accounts and find Your email and calendar connections. Each Google and Microsoft address is listed for the selected workspace. Use Test email and calendar for separate read checks. Saved authorization, a browser session, successful reading, sending and calendar writing are different states. Refreshing the account list clears prior on-screen test results.
How do I find a connection without scrolling through every tool?
Use Find a connection or import in Connect accounts. Search by service or filter by category. The directory initially shows six connections; choose Show all to browse the rest. Existing email and calendar accounts appear above the directory. Available means a CRM workflow exists; your account still needs authorization and live verification. Manual workflows and planned connectors have separate labels. Advanced import, invoice and reliability tools open on demand.
Can I connect Zoom, Teams recordings or a booking service?
Direct Zoom and Teams recording/transcript imports, Calendly appointment intake, verified payment notifications and e-signature adapters are planned. They are not enabled by selecting them in the directory. Microsoft email authorization alone does not grant Teams transcript access. Fathom remains the available meeting-note import workflow.
Does Google Calendar working prove Gmail works?
No. Test email and calendar checks them separately. Gmail API access and Gmail consent must also be available. A connection test verifies read access, not a completed import. After importing, check the result and saved progress.
When should I reconnect Google?
Reconnect for expired authorization or missing permission. A disabled Gmail API needs the app owner to enable that API in the OAuth project. Administrator restrictions need your Google Workspace administrator. Temporary outages and rate limits generally need a later retry.
Why does Google need reconnecting?
Persistent Google accounts renew securely in the background while the saved refresh authorization and CRM Google secret remain valid. Google can still require approval again after consent is revoked, an administrator changes policy, required scopes change, or the saved authorization is unavailable.
How much email is imported?
The email workflow uses a rolling 30-day window. Large imports may continue across checks. Previously saved provider records should be reused; report repeat review items with the provider, workspace and item date. Do not send message contents or tokens to support.
How do I turn a meeting or email into a task?
Open Today or the review area, inspect the original item, select the relevant action, set its destination and create the task. Dismiss actions that need no follow-up. A meeting import alone does not mean every suggested action became a task.
Can a nonprofit use the CRM?
Choose Nonprofit in Guided workspace setup. It adds missing donor, volunteer, board member, sponsor, partner and participant categories and a relationship pipeline. Existing records are preserved. Donation accounting and tax receipts are not included.
What is Relationship Compass?
Relationship Compass is the optional intelligence layer for meeting intelligence, knowledge synthesis, project workrooms and advanced analysis in selected workspaces. The core CRM works without it. Its controlled two-way connection uses a workspace-scoped credential, durable event queue, acknowledgements, conflict review and audit history.
Are integrations fully two-way?
Not without limits. Gmail and Microsoft 365 use incremental checkpoints, can send reviewed email, mark selected messages read or unread, and archive them. Google and Microsoft calendars can create or update one reviewed event. OneDrive can attach selected links and upload selected files to the CRM folder. Fathom remains inbound. FreshBooks reconciles clients and invoices and can create drafts. Relationship Compass is controlled two-way for scoped CRM entities and reviewable recommendations. Permanent mailbox or calendar deletion, OneDrive movement or deletion, and FreshBooks invoice finalization remain locked until pilot reliability and audit evidence are approved.
Can the AI help with a service that is not listed?
Yes. Open Help & automate and name the service plus the exact outcome you want. The assistant will distinguish a built-in connection from an unconfirmed future integration, look for current first-party provider documentation, show the supporting website links, and develop a discovery plan around OAuth, documented APIs, signed webhooks, CSV exchange, secure forwarding, or selected file links. It will identify minimum permissions, duplicate handling, checkpoints, audit evidence, recovery, and review boundaries. Confirm every provider domain before configuring access.
Can every customer use the integration advisor?
Every signed-in workspace member can read guidance. Contributors and editors can submit an integration request through Settings → Feedback & discovery. Only an editor with Integrations permission can configure or activate an approved connection. Viewers remain read-only, and the assistant never receives credentials or activates a connection.
How do I sync without hunting through settings?
Open Connections & Sync. Use Connect accounts to connect or renew a provider and review its permissions. Choose Sync all connected services, then open Sync now & status to see each provider result, timestamp and next action. Settings search also links directly to both areas.
How do AI credits work?
Current enforcement uses a daily generation-request allowance shared by the customer account, not a purchased monthly credit wallet. A standard email draft, contact extraction or invoice generation uses one request. Failed responses for these three actions return that daily request; short-term rate limits still apply. Initial business setup and manual edits use no daily allowance. Other AI actions can count attempts even when a provider fails. Monthly weighted credits and self-service top-ups are not active; confirm any commercial allowance before purchase.
Does every plan include the course builder?
Yes. Every public plan includes modular course creation, a public landing page and an enrollment allowance. Published-course and monthly-enrollment limits vary by plan, and optional capacity packs are available.
What learning materials can I add to a course?
A course owner can upload PowerPoint presentations, Word documents, PDFs, PNG, JPEG, WebP and GIF graphics, or add secure HTTPS links. Each resource can be attached to the course overview or a saved module and marked as a public preview or reserved for enrolled learners.
What can the AI course creator make?
It can draft an editable course introduction, module lesson, worksheet, article, reflection exercise, case study, knowledge check, discussion guide, facilitator guide, action plan, custom learning activity, or course thumbnail. Nothing is published automatically: the course owner reviews, edits, saves, and chooses access for every result.
Does Relationship CRM take a percentage of course sales?
Not currently. You set the course price and connect a secure payment-provider checkout. Relationship CRM currently charges 0% of course sales; your payment provider may charge processing fees. Payment confirmation and learner access may require manual review until signed payment webhooks and the learner portal are active.
Will AI send or publish automatically?
Review generated material for accuracy and audience fit. Approve the appropriate send or publish action and check the resulting status. Scheduled publishing depends on supported platform permissions and an active connection.
Can I store clinical or patient information?
No. The current business-only boundary excludes PHI and clinical records. A policy checkbox does not establish HIPAA compliance. Review the public data policy before connecting email or meetings.
How do I cancel or export?
For an activated billing agreement, use Relationship CRM billing to request cancellation and verify the result. Authorized users can use workspace export controls. Contact support for account closure and deletion requests; cancellation does not immediately erase stored records.
How do I get help?
Email simonmittal@envisage-health.com with the workspace name, screen, approximate time and exact error. Never include passwords, connection keys, clinical data or full private email contents.
How do Review, Tasks and relationship follow-ups fit together?
Review is for deciding what to do with imported information. Created commitments become Tasks. Open an existing task from Review to work on it instead of creating another. Relationship follow-ups are contact reminders with their own next date; update that date explicitly when finishing a task if appropriate.
How do I finish work or wait for a reply?
Open a task workspace from Today, Work → Tasks, or a linked Review action. Choose Finish this task, Wait for someone or something, Finish and create the next step, or Return to ready work. Waiting requires a return date and can include the expected response. No email is sent by these actions. A waiting task returns to Ready when that date is reached; this is a date reminder, not automatic reply detection.
Why did this task return to Ready?
Its waiting return date has been reached. Read the expected outcome and decision history in the task workspace, then finish it, resume work, or set another waiting date. Relationship reminders can also return after new activity; they are separate from task waiting.
Can I undo a task decision?
A simple Finish, Wait, or Return to ready decision can be undone from the task workspace immediately after saving. A created next task or changed relationship contact date is retained and must be reviewed explicitly. Undo refuses stale task revisions to avoid overwriting newer work.
Can I add files and links before saving a task?
Yes. In Work → Tasks → Create a task, select files/photos up to 25 MB each and enter one HTTPS link per line. Both Add task and Add task & write email save these references. If an upload fails after the task is saved, retry the remaining attachments against that same task. References are not automatically attached to outgoing email.
Which information does AI use for an email draft?
Open Draft with AI and inspect AI will use. Your instructions, subject and current draft are included. Task context can include the saved meeting/email notes and related person/project. Select up to three task notes, uploaded text/PDF files or supported images, at most 2 MB per file. Unselected files and external URLs are not read. The result names selected files used in the request; review its interpretation before sending.
Can I recover an interrupted draft?
Unsaved email and new-task text can be recovered within the same browser tab for up to 24 hours, scoped to the CRM account and workspace. Choose Restore when offered. File selections must be added again. Saved email drafts are stored in CRM and can be reopened from Recent emails. Recovery is not a backup and a cleared browser session can remove unsaved drafts.
Why can I not find a task I just created?
Check the workspace, Active versus Completed, the quick view and search. Work filters stay in place when you return. Choose Show all active tasks to clear filters. Search also supports phrases such as unfinished tasks, overdue tasks, waiting tasks and tasks this week, and shows the applied filters.
How do I customize without changing existing records?
Use Settings → Guided setup, choose a business template or review an AI proposal, and select Review setup changes. Compare the current and proposed menu and labels before saving. Discard a proposal to reload saved setup. After saving, Restore previous menu and labels restores the layout and analysis prompt; added categories, templates, pipelines and business-profile preferences remain for explicit review.
Where are connection, sync and advanced setup controls?
Guided setup configures the business workflow. Connect accounts manages provider authorization. Sync now & status shows import results and recovery actions. Advanced import policy and pilot controls are grouped under Guided setup. Settings retain the selected category after refresh and support browser Back. Seller operations and related tools are grouped separately, and Search settings includes them when permitted. Workspace roles determine which controls are available; an owner can grant additional permissions.
For the complete workflow, open the connected work guide.
